Privacy Policy & File Delivery Terms

1. Data Accessed

TalkToMyManager uses Google OAuth to allow users to sign in. When you authenticate with Google, we access the following information from your Google account:
  • Name — to personalise your dashboard and display your identity.
  • Email address — to create and identify your account, and to send delivery notifications to clients.
  • Profile picture — displayed in the dashboard navigation.
We do not access your Google Drive, Gmail, contacts, calendar, or any other Google services. Our OAuth scope is limited to basic profile information only.

2. Data Usage

Google user data is used solely to operate the TalkToMyManager platform:
  • Your email address is used to identify your account and associate your projects with you.
  • Your name and profile picture are displayed within your private dashboard.
  • Your email may appear as the sender context in delivery notifications sent to your clients via our email service (Resend).
We do not use your Google data for advertising, profiling, or any purpose beyond providing the service you signed up for.

3. Data Sharing

We do not sell, rent, or trade your personal data. Limited sharing occurs only as necessary to operate the platform:
  • Supabase — our database provider, stores your account information securely.
  • Resend — our email delivery provider, processes email addresses to send client delivery notifications.
  • Stripe — if you enable payments, your Stripe secret key is stored securely and used only to process payments on your behalf. Stripe handles all payment data directly and is PCI-DSS compliant.
  • Vercel — our hosting provider, processes requests on our behalf.
No Google user data is shared with any third party for their own use or marketing purposes.

4. Data Storage & Protection

  • All data is stored in Supabase, which encrypts data at rest (AES-256) and in transit (TLS).
  • All connections to TalkToMyManager are encrypted via HTTPS.
  • Access to your account data is protected by Supabase Row Level Security — only you can access your own projects and client data.
  • Payment credentials (Stripe secret keys) are stored in our database and never transmitted to the browser.

5. Data Retention & Deletion

  • Your account data (name, email, profile picture) is retained for as long as your account is active.
  • Delivery logs and project records are retained to provide proof-of-delivery records for creators and their clients.
  • To request deletion of your account and all associated data, email us at team@talktomymanager.co. We will permanently delete your account and all data within 30 days.

6. Platform Overview & Introduction

TalkToMyManager (the “Platform”) provides a professional communication and administrative intermediary service for creative professionals (“Creators”) and their clients (“Recipients”). The Platform is designed to formalize the delivery of digital assets, facilitate final payments, and document the transfer of storage responsibility.

7. Non-Hosting & Passive Conduit Status

TalkToMyManager is a passive conduit and does not host, store, mirror, or archive any media files.
  • All digital assets remain on third-party storage providers (e.g., Google Drive, Dropbox) managed by the Creator.
  • The Platform has no technical ability to “recover” files that have been deleted or moved by the Creator or third-party providers.

8. The "Power Window" & Automated Expiration

The “Power Window” is the period (typically 1–60 days) during which the Creator agrees to maintain a live access link for the Recipient.
  • Expiration: Upon the exact date and time of expiration, the Platform will automatically revoke the access link.
  • Post-Expiration: Once the window has closed, the Creator is fully and permanently released from any obligation to store, maintain, or provide access to the files.

9. Mandatory Transfer of Liability

By accessing the delivery portal or clicking “Accept Files,” the Recipient agrees to the following:
  • Assumption of Risk: The Recipient assumes 100% of the risk of loss for the digital assets the moment the download link is revealed.
  • Duty to Backup:It is the Recipient’s sole responsibility to download, verify, and secure multiple backups of the assets within the Power Window.
  • Release of Claims: The Recipient irrevocably waives the right to bring any legal claim against the Creator or TalkToMyManager for data loss, file corruption, or lack of access following the expiration of the delivery window.

10. Digital Witnessing (Proof of Delivery)

To protect all parties, the Platform logs forensic evidence of the handoff, including:
  • Recipient IP address and approximate geolocation.
  • Precise timestamps of email opens and terms acceptance.
  • Metadata confirming the initiation of the download.
This data constitutes a Certified Receipt. In any dispute, this log serves as definitive proof that the assets were made available and the Recipient accepted the terms of the handoff.

11. Archive Retrieval Fees

If a Recipient requests access after the Power Window has expired, any “Retrieval Fee” charged is a service fee for the administrative labor of restoring the link. Payment of this fee does not constitute a new long-term storage contract or a guarantee that the files still exist on the Creator’s third-party storage.

12. Platform Indemnification

The Recipient and Creator agree to indemnify and hold harmless TalkToMyManager from any and all claims, losses, or damages arising from the use of the Platform, including but not limited to technical failures of third-party storage providers or the accidental deletion of assets by either party.
